
Emergency Converting: The Production Handoff Checklist
Give an urgent converting partner the material, specification, minimum useful quantity, approval contact, and delivery deadline needed to assess your job.
Name the constraint and the deadline
Tell the converting team what is stopping production: a machine outage, incoming material in the wrong format, a volume spike, or damaged stock. State the deadline at the receiving location and the minimum quantity that would keep the line running.
A request for the full order tomorrow may have different options from a request for the first usable pallet tomorrow. Identify whether partial releases would help without assuming they can be scheduled.
Send the information needed for a feasibility review
Provide the material grade, available quantity, current location, parent dimensions, and required finished dimensions. Include the approved tolerance, core or sheet requirements, packaging, and any splice restrictions.
Attach the current specification revision and identify a person who can resolve questions quickly. Conflicting drawings or a missing approval contact can consume the time an urgent job is meant to save.
Confirm the plan before moving material
Ask the converter to confirm machine fit, material availability, production capacity, and the proposed release sequence. Agree when incoming stock must arrive and who coordinates outbound freight.

Keep quality requirements in the handoff
Urgency does not remove the need for acceptance checks. Identify what must be inspected, who can approve a sample or first output, and which changes need written approval. If a dimension or material substitute is proposed, confirm its fit with the receiving process.
Once the urgent order is resolved, keep the approved specification and contacts together. That creates a clearer starting point if you need outside capacity again.
